The Receptionist is one of the senior level positions in the Facilities job family. They take their guidance and instruction from the Facilities Team Manager, operating at a business unit or country level.

What you'll be doing

Manage reception

The primary goal of the Receptionist is to deliver a friendly, efficient customer service and to create a warm and welcoming atmosphere for Dimension Data guests, with the key aim of retaining and attracting new clients and provide a complete reception support service with limited or no guidance in performing the following duties:

  • Manage reception area – they take responsibility for the reception area, maintaining a professional and pleasant interface with visitors and/or guests, clients and employees. They receive and welcome guests and advise the relevant internal stakeholders of the guest/visitor’s arrival timeously.
  • Answer calls – the Receptionist answers, transfers and directs incoming calls, greeting callers, providing information and taking messages as required using the relevant database to access information. They route emergency calls, forwarding them to the appropriate internal stakeholders, ensuring that the call reaches the appropriate person.
  • Administration – They perform administrative duties such as typing, capturing and updating information on the relevant systems and sorting of mail when required. They manage all logistics relating to public meeting rooms including advising colleagues of current events in these rooms.
  • Manage queries – these individuals supply routine, non-interpretative and simple information on request to clients and keeps updated on daily business activities to respond to and provide clients with current information.

Behavioural skills

These individuals are professional in their approach, with good verbal and written communication skills. They demonstrate good client service orientation and are proactive individuals with a positive attitude to work. They are able to manage assigned job processes and have good interpersonal skills which they use to deal effectively with internal and external stakeholders. They exercise sound judgement and display the ability to deal effectively with conflict.
