Becoming an Executive Assistant with Capita
An exciting opportunity has arisen with the Group Senior Medical Officer and the newly appointed Group Head of Legal at Capita, which combines both executive assistant support and project support work to both Executives. You will work alongside the Executives in a fast paced and demanding environment liaising with other senior management daily. The right candidate will be expected to operate proactively with a high degree of autonomy, ensuring the Executives can work effectively, both managing their priorities and time whilst ensuring projects are managed and delivered accordingly.
What you will do
Complex diary management
Managing workflow – prioritising meetings and deadlines
Booking and arranging meetings with internal and external clients/ customers
Liaising with clients and key stakeholders at a high-level with or on behalf of the Executives
Attending leadership and strategy meetings – Taking notes and actions to distribute
Obtaining information and evaluating data to produce reports
Developing and maintaining key project documentation
Producing and reviewing communications to Senior Management and Clients
Producing PowerPoint presentations, and preparing documents for wider distribution
Ensuring the Executives are equipped with the correct documentation for meetings
Ad-hoc project work with the opportunity to get involved in more
Your experience will include
- Highly computer literate, particularly in Word, PowerPoint and Excel.
- Strong administrative and organisation skills
- Excellent written and spoken English
- Strong problem-solving skills; proactive and confident in taking initiative
- Ability to be very flexible and to re-prioritize.
- Exceptional organisational skills
- Excellent communication and interpersonal skills
- Able to handle multiple assignments while showing diplomacy and efficiency
- Previous experience of working in a large corporate organisation (desirable)
- Previous EA/PA experience (desirable)
- Understanding of Capita and the organisational structure/divisions/business units (desirable)
You must be a team player, determined, highly proactive and professional, self-motivated with a friendly approach.
