The Firm

Based in London with offices in New York, the firm services an international community of clients and provides advice in situations where the constraints of geography often do not apply. The Department

At Mishcon de Reya LLP, our heritage in private client work is at the heart of our firm. Historically, the private client focus has been on tax and estate planning, trust and succession disputes, and family. Mishcon Private brings together these areas while, at the same time, broadening the practice to include reputation protection, immigration, family office management, fraud defence, residential property and art. Our clients include wealthy individuals and families and range from the high profile to the very discreet. The team at Mishcon Private comprises litigators, media law experts, art, tax and immigration specialists, and is highly experienced at dealing with family disputes and complex multi-jurisdictional cases

Responsibilities/Duties

File Opening and Management

  • Opening of all new client files including completing conflict checks, preparation of client engagement letters, collating all the relevant information required and updating client files regularly
  • Have responsibility for key aspects of file management and compliance with our internal standards, working closely with and supporting the fee earners for whom they work to maintain that compliance.
  • Managing any changes to clients or the addition of new parties, ensuring additional CDD has obtained, the client engagement letter updated and is saved according to internal processes
  • Building successful relationships with key individuals in Business Operations, such as Accounts, Risk & Compliance, Facilities, Production, Distribution, Archives and IT.
  • Contribute to team projects with Mq2 Coordinators and IT Champions as and when required.
File Closing

  • Ensuring all files have been closed correctly within three months of matter ending, following internal processes relating to documents and residual balances, and any other applicable procedures.
  • Working with Archives team to ensure files are cleared away from the floor in a timely and efficient manner.
General Administrative Support

  • Liaising with file management controller regarding open files stored in the department.
  • Oversee incoming post and distributing to relevant team members
  • Proactively manage all tasks related to administrative support using initiative and common sense ensuring a responsive stance on all matters.
Skills/Experience

  • Experience of working within an administrative function within the legal sector or professional services preferable
  • Demonstrable experience of working with all levels of management and handle all responsibilities with a high level of tact, diplomacy, trust and professionalism
  • Excellent organisational skills, with a systematic and methodical working style and work to tight deadlines
  • Experience of working in a fast-paced and demanding work environment
  • Exhibits strong professional communication skills both oral and written
  • Excellent attention to detail and high levels of accuracy
  • An expert in the use of IT including MS Office packages, specifically Excel, and takes responsibility for ensuring personal development and IT skills are maintained and improved
  • Ability to learn the business and relevant policies and procedures as well as the ability to adapt to change
  • Ability to understand the commercial imperatives of the business/Department and the Firm as a whole
  • Resilient, calm under pressure and able to prioritise and balance various work requests
  • Ability to demonstrate a proactive approach to tasks and situations;
