Our Children Services Administration Officer Roles are based in a small, supportive team. These fast paced jobs are crucial to enable the Children Social Care teams to work effectively and deliver outstanding services to our customers. Our teams work co-operatively to provide efficient and effective secretarial and administrative support to staff based in Specialist Directorate Teams or those who may not work from one office. We proactively liaise with colleagues to provide constant and consistent services, streamline practices, provide cross-service cover and help prevent excessive workload peaks. Both roles will therefore suit someone able to work at a fast pace, often to tight deadlines, whist staying calm and efficient under pressure.


In the Administration Officer (Support) role, you will be supporting Social Workers who work with families and young people within our community.



To be successful in this role, you will be someone with excellent communication skills, who thrives on working in a team environment. Whilst prior experience of working in a Social Care environment is not essential, you should be able to demonstrate experience of providing administrative support in a busy, customer-focused team. Good ICT skills are essential and you must be comfortable with using Microsoft Office applications. Experience in using database systems would also be highly valued.



We have a dedicated training and induction plan where we will develop your knowledge, skills and expertise in all administrative areas.

Essential Criteria:

Educational achievements, Qualifications, Training and Knowledge:

  • English Language and Mathematics GCSE Grade C or above, or equivalent, or comparable ability

Experience:

  • Previous administrative experience
  • Proven front line service (visitor/telephone) experience
  • Proven ability to work effectively to deadlines
  • Experience and regular use of Microsoft Office applications and the Internet
  • Experience of handling data and statistics
  • Experience of inputting and retrieving data from ICT based record systems
  • Information research, retrieval and collation using internet/web based systems

Job related aptitude and skills:

  • Ability to communicate effectively by telephone, in writing, by e-mail and in person
  • Methodical and organised approach to tasks, with an eye for detail
  • Initiative, flexibility and ability to handle change
  • Use of Microsoft Office applications, including Word, Excel, Outlook and PowerPoint, to at least an Intermediate Level

Personal Qualities:

  • Commitment to providing good customer service with a drive for continuous improvement
  • Commitment to continuous personal development
  • Ability to work alone, as well as working co-operatively as a team member
  • Able to deal with work of a confidential nature

Desirable Criteria:

Educational achievements, Qualifications, Training and Knowledge:

  • Support role - ECDL or equivalent training in relevant software packages

Experience:

  • Use of Microsoft Publisher and PowerPoint
  • Experience of processing financial claims/transactions
  • Experience of using consultative processes to improve procedures and services

Job related aptitude and skills:

  • Ability to produce accurate summaries of meetings, events and conversations

Personal Qualities:

  • Interest in services provided by or for Oxfordshire County Council and willingness to learn about new initiatives
